A clear event starts with a clear agreement.

These terms explain what is reserved, how changes are handled and what each party needs to provide so the service runs without surprises.

The essential rule

The price protects the time and resources reserved.

Once a proposal is accepted, its price corresponds to the scope, schedule, equipment and staff held for the event.

It may increase when the client requests or accepts additional time, equipment, staff, travel, customisation or any other extension of scope.
It does not decrease when the service is shortened, starts late or is only partly used for reasons beyond The Booth’s control, especially when the change occurs on the event day.

Booking and service delivery terms

The agreement, point by point.

They apply to proposals that incorporate them by link or reference. If an accepted proposal or signed contract states otherwise, that specific term takes priority.

Application and order of priority

These terms form part of an order when The Booth makes them available before acceptance and references them in the proposal, contract or booking confirmation.

  • The accepted proposal defines the specific service: date, location, schedule, equipment, deliverables, price and taxes.
  • Specific terms agreed in writing take priority over these general terms; all unaffected provisions remain applicable.
  • A proposal alone does not hold availability. The date is reserved only after the stated acceptance and payment steps have been completed.

Booking, invoicing and payment

Unless the proposal says otherwise, a booking is confirmed by written acceptance and a minimum advance payment of 50% of the total.

  • Any outstanding balance is payable against the final invoice no later than 7 calendar days after the event.
  • The person or entity accepting the proposal is responsible for full payment and for providing correct billing details.
  • In business-to-business transactions, overdue amounts may accrue the statutory late-payment interest and recovery costs applicable in Spain.

A purchase order, vendor onboarding or internal client process does not change the due date unless The Booth expressly accepts that arrangement before the booking.

Price and changes of scope

The accepted price is fixed for the described scope. Any extension requested or accepted by the client will be quoted or invoiced additionally.

  • Extensions include extra hours, equipment or units, additional staff, a new location, longer travel, undisclosed logistics, special consumables and new design assets.
  • Urgent changes may be approved by an authorised client representative by email, WhatsApp or a service report.
  • Reducing the schedule, units, deliverables or use on the event day does not reduce the agreed price.

The Booth will not unilaterally change the price for the same scope: any increase must correspond to an accepted extension, additional cost or materially different condition.

Schedule, delays and extensions

The contracted schedule is a specific operating window. Setup and breakdown are organised around the access agreed with the venue.

  • A late start caused by the client, venue, third-party suppliers or event programme does not automatically move the finishing time.
  • Any extension is subject to The Booth’s equipment and staff availability and will carry the additional price stated or approved at that time.
  • Waiting time caused by missing access, credentials, space, electricity or instructions may count as service time when it prevents the agreed schedule from being met.

Access, space and technical conditions

The client coordinates sufficient and timely venue access for loading, setup, operation and removal of the equipment.

  • A stable, safe area of the communicated size must be provided and protected from rain, wind, moisture, extreme heat and traffic that may damage the equipment.
  • The client will provide power within 5 metres and, where the service requires it, a suitable internet connection. If fixed or Wi-Fi internet cannot be provided, the client must guarantee stable and sufficient 5G coverage in the installation area.
  • Parking, permits, passes, stairs, special handling or undisclosed restrictions may create additional charges if they affect the agreed logistics.

The Booth may pause, adapt or decline to start the service if conditions put people or equipment at risk. Where the cause lies with the client or venue, this does not reduce the price.

Designs, content and approvals

The client supplies logos, copy, guidelines and other assets by the proposal deadline or, if no deadline is stated, at least 5 business days before the event.

  • Feedback must be consolidated through one contact. Additional revisions or post-approval changes may require extra fees and lead time.
  • If approval or assets arrive late, The Booth may use a neutral design or the latest approved version without this constituting a breach or price reduction.
  • The client confirms that it holds sufficient rights and permissions for all logos, text, images, music and other materials it supplies.

Agencies, intermediaries and end clients

When an agency or intermediary hires The Booth, that entity remains the contractual client even if the service is delivered for a third party.

  • Payment is not conditional on the agency first being paid by its end client unless The Booth expressly agrees to this in advance.
  • The agency consolidates instructions, approvals and changes. Direct requests from the end client change the order only when validated by an authorised representative.
  • A cancellation, non-payment, brief change or dispute between the agency and its end client does not remove or suspend the agency’s obligations towards The Booth.

The proposal may identify who can approve extras. During an urgent on-site incident, the decision of the responsible representative present will be documented in writing.

Equipment use and client responsibility

The client will help maintain a reasonable operating environment and follow the instructions of The Booth’s technician.

  • Damage caused by guests, event staff or third parties through impact, liquids, interference, vandalism or misuse may be invoiced to the client.
  • The Booth may temporarily stop use to protect people, equipment or data without the schedule being automatically extended.
  • Where the service includes data collection or attendee communications, information, consent and processing responsibilities will be defined in the proposal or relevant agreement.

Cancellation and change of date

Unless the proposal states a different policy, client cancellations must be made in writing and have the following effects.

  • 14 or more calendar days before the event: the advance payment is refunded, less only approved work or non-recoverable costs already incurred.
  • Less than 14 days before the event, but before the event day: 50% of the total remains due and the advance payment is applied to that amount.
  • On the event day, in case of no-show or where access is impossible for reasons attributable to the client or venue: 100% of the total remains due.

A date change is not automatic. It is confirmed only when The Booth accepts the new date in writing; until then, the cancellation rules for the original date continue to apply.

Incidents, force majeure and limits

The Booth will keep its equipment in suitable condition and act diligently to resolve any incident attributable to the service.

  • Network or power failures, access restrictions, venue requirements, incorrect instructions and third-party acts beyond The Booth’s reasonable control are not attributable to The Booth.
  • For a technical interruption attributable to The Booth, the first remedy will be restoration or replacement time where feasible; any financial remedy will be proportionate to the affected part of the service.
  • Neither party is liable for non-performance caused by force majeure. Both will cooperate in good faith to reschedule or settle the service delivered and unavoidable costs.

For business or professional clients, and except in cases of wilful misconduct, gross negligence or a mandatory legal limit, The Booth’s total liability will not exceed the price of the affected service.

Communications, version and governing law

Confirmations sent to the designated contacts by email or WhatsApp are treated as written communications concerning the order.

  • The applicable version is the one supplied or linked when the proposal is accepted. Later edits to this page do not change confirmed bookings.
  • The contract is governed by Spanish law. In business-to-business relationships, the parties submit to the courts of Barcelona unless a mandatory rule or specific agreed term states otherwise.
  • If any provision cannot be applied, the remaining provisions continue in force and will be interpreted as closely as possible to the agreed purpose.
